Certified Copy (Extract) from the Civil Registry

The municipality records important life events in the civil registry. If you need written proof of a birth, death, marriage, divorce, or domestic partnership, you will need a copy or extract from the civil registry.

A certified copy contains all the information from the civil registry record. An extract contains limited information from the record.

What should I do?

You can request a copy or extract from the civil registry at the municipality where the certificate was issued. Please indicate why you need the copy or extract.

Request an extract

You can request a transcript for the following individuals:

For yourself.
For your child—even if he or she is over 16 years old.
On behalf of someone else, if that person authorizes you to do so. This can be done in a letter in which he or she states that you are authorized to act as their representative.

International Extract

A civil registry extract is available in multiple languages. When submitting your request, please indicate that you would like an international extract. A civil registry transcript is available only in Dutch. If you need a transcript in another language, you must have it translated by a certified translator.

Authorize Someone Else

If someone else is submitting the application to the municipality on your behalf, give that person a letter that includes the following:

the reason why you need the copy or statement
the name of the authorized representative
your signature
the authorized representative's signature

How long does it take?

If you request the copy or extract in person at city hall, you will receive it right away. This also applies if you authorize someone else to do so on your behalf.
If you request the copy or extract online or in writing, the municipality will send it to you by mail.
