Certified Copy (Extract) from the Civil Registry

The municipality records important life events in the civil registry. When you need written proof of a birth, death, marriage, divorce, or registered partnership, you need a copy or extract from the civil status records.

A full copy contains all details from the civil status record. An extract contains limited information from the record.

What to do?

You can request a civil status copy or extract from the municipality where the record was created. Please state why you need the copy or extract.

Request an extract

You can request an extract for the following persons:

For yourself.
For your child. Also if he or she is older than 16 years.
On behalf of someone else, if that person authorizes you to do so. This can be done in a letter in which he or she states that you are granted authorisation to act as an authorized representative.

International extract

A civil status extract is available in multiple languages. Please indicate in your request that you would like an international extract. A civil status copy is only available in Dutch. If you need a copy in another language, you must arrange for it to be translated yourself by a sworn translator.

Authorizing someone else

When someone else submits the application for you to the municipality, you must provide that person with a letter containing:

the reason why you need the copy or extract
the name of the authorized representative
your signature
the signature of the authorized representative

How long does it take?

If you apply for the copy or extract in person at the municipality, you will receive it immediately. This also applies if you authorize someone else to do this for you.
If you apply for the copy or extract online or in writing, the municipality will send it to you by post.
