Determination of Subsidy
Sometimes, after the subsidy year has ended, you must explain to the municipality what you did with the subsidy. This is the case if you received more than € 5,000 in subsidy in 2025. You must submit this accountability no later than 31 May 2026. What is new is that you must complete this accountability digitally.
What is a final determination?
Often you must show what the subsidy money was precisely used for and what results you achieved with your activities. This must be done after the end of the year in which you received the subsidy and is called "an application for final determination" or "rendering accountability".
- For a subsidy up to and including € 5,000, this is sometimes required.
- For a subsidy starting from € 5,000, this is always required.
- The rule is: the higher the subsidy amount, the stricter the requirements.
Do you have a subsidy up to and including € 5,000? Application for final determination only in exceptional cases
If you receive a subsidy up to and including € 5,000, you are not routinely required to submit accountability to us. Therefore, you do not need to take any action to show how and on what you spent the money. There are two exceptions to this:
- Sometimes the municipality may still want to check whether everything is correct by conducting random checks, for example. It is therefore possible that we may ask you later to render accountability (article 13, paragraph 1 ASV 2019).
- Sometimes the subsidy decision states that you do have to render accountability. In that case, you must show how and on what you spent the money (article 13, paragraphs 2 and 3 ASV 2019).
Do you have a subsidy exceeding € 5,000?
For subsidies exceeding € 5,000, you are required to prove how the subsidy was used and what results were achieved through these activities. You must submit your financial and substantive accountability report (Article 14 of the General Subsidy Regulation Voorschoten [ASV] 2019). The exact documents you need to submit depend on the amount of the awarded subsidy:
How and when do I submit this final determination?
Submit the final determination digitally by May 31, 2026, at the latest.

Please note: for organizations with a subsidy between € 50,000 and € 100,000, a minor amendment was decided upon in the summer of 2025.

What happens after I submit the final determination?
We will verify whether you have used the subsidy correctly. Afterwards, you will receive a formal notice containing our decision.
Good to know:
- You will receive a decision within 13 weeks of your application. If we require more time or additional information, we will let you know.
- If you have complied with all the terms and conditions and Requirements , the grant will be set at the same amount that was provisionally awarded to you.
- In some cases, the subsidy amount may be reduced upon final determination. This means you will be required to repay funds. This can happen if, for example, you did not carry out all the agreed activities, failed to comply with all regulations, provided incorrect or incomplete information, or failed to submit your request for final determination on time or in full (pursuant to Article 15 of the ASV 2019).

Saving your application temporarily
You can temporarily save your application if you need to look up or gather more details. Your application will be stored for 5 working days if you save it in the interim.
Issues with using DigiD have been resolved!
Until recently, the 'extend session' button did not function properly with DigiD. This was due to a national security measure. Fortunately, this has been resolved.
If you take a temporary break and no activity is detected for a period of time, the message 'Extend session' will appear on your screen. This extension now functions properly again for applications submitted via DigiD.
It is no longer possible to submit a grant determination.
